Job description

We are seeking a Sales & Finance Administrative Assistant to provide essential support to both our Sales and Finance teams. This role will focus on clerical, documentation, and reporting tasks, ensuring smooth operations, timely deliverables, and accurate recordkeeping.

This full-time position is ideal for someone who is highly organized, detail-oriented, and eager to gain hands-on experience across sales operations and financial processes. An interest in global collaboration and occasional travel is encouraged, as you may support international colleagues and projects.

Job requirements

Sales Support

  • Maintain and update CRM records (contacts, opportunities, pipeline stages, etc.)

  • Assist in preparing sales proposals, RFP responses, and supporting documentation

  • Help draft and format change request documentation and other client-facing materials

  • Support in using Power BI to maintain and update sales dashboards and reports

  • Track and follow up on outstanding quotes, renewals, and customer documentation

  • Assist the sales team in developing and improving processes, including building templates for SOWs and CRs

Finance & Reporting Support

  • Maintain financial records, filing systems, and compliance documentation

  • Support in using Power BI to maintain and update finance dashboards and reports

  • Assist in updating cost and sales rates used in the bid process

  • Keep up to date on insurance compliance required to support the sales cycle and annually review for competitive rates

  • Assist in improving processes to increase efficiency and reduce costs

Qualifications

  • 1–3 years of experience in an administrative or assistant role (sales/finance/project support preferred)

  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) is required

  • Familiarity with CRM systems (e.g., Salesforce, HubSpot) is a plus

  • Experience supporting documentation processes such as RFPs, contracts, or change requests is a plus

  • Familiarity with data visualization tools such as Power BI preferred

  • Ability to be client-facing and manage client expectations professionally

  • Basic understanding of accounting principles a plus but not required

  • Excellent written and verbal communication skills

  • Ability to manage multiple priorities in a fast-paced environment

  • Proactive, dependable, and team-oriented mindset

  • Interest in global business and willingness to travel as opportunities arise
